We're working with a leading New Zealand property development, construction and hospitality group to recruit an Executive Assistant who will play a pivotal role in supporting a highly active Managing Director.
   
ABOUT THE ROLE
You'll be responsible for protecting the Managing Director's time, attention, and focus by creating structure, driving accountability, and ensuring critical tasks are executed. Working across both business and personal matters, you'll operate as a trusted confidant and highly organised coordinator who thrives in a fast-paced environment.

Key Responsibilities
  • Own and optimise a complex executive calendar and schedule
  • Prioritise urgent matters and protect focused decision-making time
  • Manage executive task tracking, follow-ups, and action plans
  • Prepare daily priority lists and executive briefings
  • Coordinate travel, appointments, meetings, and events
  • Triage correspondence and draft professional communications
  • Prepare agendas, attend selected meetings, and document actions
  • Track deliverables through to completion across multiple stakeholders
  • Support property, hotel, finance, legal, HR, and investment-related activities
  • Maintain accurate records, systems, and confidential documentation
  • Leverage AI and automation tools to improve efficiency and workflow management
ABOUT YOU
  • Proven experience as an Executive Assistant or Private Secretary
  • Exceptional organisational skills and the ability to manage competing priorities
  • Strong written and verbal communication skills
  • Experience supporting senior executives in complex business environments
  • High levels of discretion and professionalism with sensitive information
  • Excellent attention to detail and follow-through
  • Advanced proficiency with Outlook, Teams, SharePoint, and modern collaboration tools
  • Experience using AI and automation tools to increase productivity and streamline processes
  • A proactive mindset with the confidence to challenge priorities when required
  • Ability to remain calm, focused, and solutions-oriented under pressure
