The Situation:

We are seeking a highly organised and proactive Executive Assistant to support their executive team.  This is an exceptional opportunity for a seasoned professional who thrives in a fast-moving industry and excels in providing high-level executive support.

Key Responsibilities:
  • Provide comprehensive administrative support, including managing calendars, scheduling meetings, and coordinating travel arrangements for the executive team.
  • Draft and edit correspondence, reports, and presentations.
  • Screen and prioritise incoming calls, emails, and other correspondence for executives.
  • Maintain confidential files and ensure accurate filing and retrieval of critical documents.
  • Coordinate meetings and events, including logistics, catering, and other arrangements.
  • Serve as the primary point of contact for internal and external stakeholders, including clients, suppliers, and board members.
  • Manage special projects and initiatives assigned by the executives.
  • Conduct research and prepare reports on various topics as required.
  • Provide additional administrative support as needed.
About You:
  • Minimum of 5 years' experience in executive support roles.
  • Strong organisational and time management skills, with the ability to multitask.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proven ability to work independently, proactively, and strategically—anticipating the needs of the executive team.
  • Resilient, experienced, and confident in handling high-pressure situations.
  • Strong relationship-building and stakeholder management skills.
