Our client, a well-established professional services firm based in central Dunedin, is seeking a highly capable Personal Assistant to support their Management Team in a busy, collaborative environment. This is a high-trust position requiring discretion, initiative, and strong organisational skills.

We are seeking a proactive, detail-oriented professional who thrives on organisation, communicates confidently, and enjoys being an integral part of a close-knit team. This role also provides back-up payroll support, so confidence working with sensitive financial information is essential.

About the Role

As Personal Assistant, you will provide comprehensive administrative support, ensuring the smooth day-to-day operation of the practice. Key responsibilities include:
  • Managing emails, phone calls, and correspondence for the Management Team
  • Coordinating appointments and schedules
  • Liaising with third parties including banks and lawyers
  • Assisting with annual accounts preparation and distribution
  • Supporting Managers with client information gathering
  • Typing correspondence, reports, file notes, and documentation
  • Invoicing fees and disbursements
  • Tax administration support
  • Preparing and issuing provisional and terminal tax notices
  • Ensuring final declarations and minutes are signed and returned.
  • Following up third party enquiries
  • Reception support and daily mail processing
  • Providing payroll back-up support
  • General administrative assistance as required by the Management Team
You will bring:
  • Exceptional organisational skills and attention to detail
  • The ability to manage deadlines and prioritise effectively.
  • Strong written and verbal communication skills
  • High levels of professionalism, discretion, and integrity
  • Confidence liaising with clients and external stakeholders.
  • A collaborative, team-focused approach
  • Previous experience in administration within a professional services environment (preferred)
  • Comfort handling payroll processes and confidential information.
