Position Overview:
The Health & Safety Specialist supports leaders and teams to embed strong, consistent health and safety practices across the organisation. This role operates within a mature health and safety environment, with core systems and processes already established.
The focus of the role is on health & safety advice, monitoring, assurance, and continuous improvement, supporting leaders to manage risk effectively, ensuring systems are used well, and following through on corrective actions across multiple sites.
The role works closely with People & Culture to support an integrated approach to health, safety, and wellbeing, while maintaining a strong operational focus.
Key Responsibilities
Health & Safety Systems & Process Coordination
- Support the ongoing optimisation, governance, and consistent use of our health and safety management systems and applications.
- Act as an administrator and key user of health and safety systems, supporting users and maintaining system integrity.
- Monitor the quality, timeliness, and consistency of health and safety reporting across sites.
- Support the continuous improvement of health and safety processes and procedures
- Maintain accurate and up-to-date health and safety records, including incidents, hazards, risk assessments, and training documentation.
- Conduct regular reviews of health and safety documentation, policies, procedures, and risk registers to ensure they reflect current operations and risks.
- Identify gaps, duplication, or outdated documentation and escalate improvement opportunities.
- Develop and maintain a regulatory compliance and certification register across all sites. Support the preparation of compliance documentation for internal and external assessments, audits and certification, and support the Operations to ensure we maintain full compliance across all sites and businesses.
- Coordinate reporting and follow-up of incidents, near misses, and hazards.
- Support managers with incident investigations and corrective actions.
- Track completion of corrective actions and escalate unresolved or high-risk matters.
- Assist with site-level risk assessments and reviews (e.g. manual handling, traffic management, fatigue).
- Analyse health and safety data to identify trends, emerging risks, and recurring issues.
- Analyse industry information and data, and recommend courses of action we should or should not take as a result.
- Keep abreast of regulation updates and changes, understand the consequences, recommend courses of action and inform leadership.
- Prepare regular health and safety reports, insights, recommendations and dashboards for People & Culture, Operations and the Board.
- Support health and safety meetings by facilitating meetings, tracking actions and monitoring completion.
- Act as a first point of contact for routine health and safety queries from managers and teams.
- Escalate complex, high-risk, or systemic health and safety matters to senior leaders, People & Culture, or external advisors as appropriate.
- Provide practical guidance to support leaders in fulfilling their health and safety responsibilities.
- Reinforce leadership accountability for health and safety outcomes.
- Support our relationships and coordination with external regulators, auditors, consultants, and service providers as required.
- Support coordination of health and safety inductions, refresher training, and toolbox talks.
- Assist with monitoring training completion and compliance.
- Support health and safety representatives and site-based safety activities where applicable.
Experience & Qualifications
Essential Experience & Knowledge
- 5+ years’ experience in a health and safety advisory support role within an operational environment.
- Experience in logistics, warehousing, transport, manufacturing, or a similar high-risk operational environment.
- Solid working knowledge of New Zealand health and safety legislation and its practical application.
- Solid working knowledge of compliance requirements for warehousing and transport.
- Experience supporting incident, hazard, and near-miss reporting, investigations, and corrective action tracking.
- Experience working with digital health and safety management systems (e.g. SaferMe, EcoPortal, Donesafe, Vault, or similar).
- Demonstrated experience supporting multi-site operations and working with frontline teams.
- Experience working with contractor or third-party health and safety processes.
- Experience preparing health and safety reports and insights, and supporting audits, reviews, or external assurance activities.
- Health and Safety qualification at Level 3–4 (minimum).
- Working towards, or willingness to undertake, higher-level health and safety qualification (Level 5–6 desirable).
- ICAM or similar incident investigation training is an advantage
- Strong organisational skills with the ability to track actions through to completion.
