The Opportunity

A leading Australian organisation within the infrastructure services sector is seeking an experienced and highly organised Executive Assistant to support its Executive Team.

Operating across multiple sectors nationally, this organisation is recognised for delivering high-quality solutions and maintaining strong professional standards. This role will suit a proactive Executive Assistant who thrives in a fast-paced environment and enjoys supporting senior leadership while assisting across key business functions including HR.

Key Responsibilities

• Provide high-level administrative support to the Managing Director, Executive and Senior Leadership teams
• Manage complex calendars, coordinate meetings and arrange travel
• Prepare and edit correspondence, reports and presentations
• Screen and prioritise calls, emails and incoming communications on behalf of executives
• Maintain confidential records, documents and files ensuring accurate retrieval when required
• Coordinate meetings, board engagements and company events including logistics and catering
• Act as a key point of contact for internal and external stakeholders including clients and suppliers
• Provide administrative support across HR functions including onboarding coordination, documentation and internal communications
• Assist with HR administration including maintaining employee records and supporting people and culture initiatives
• Support the day-to-day operations of the office, including oversight of reception and shared office spaces
• Assist with special projects, research and preparation of executive reports

About You

• Minimum 3 years’ experience supporting senior leaders or C-suite executives
• Exposure to HR or people and culture administration will be highly regarded
• Exceptional organisational and time management skills
• Strong written and verbal communication skills
• Advanced proficiency in Microsoft Office Suite
• Ability to manage confidential information with professionalism and discretion
• Proactive, adaptable and confident working in a fast-paced environment
